Wellness & Fitness · Front-desk automation
Your front desk is spending the day answering the same twelve questions
Banao builds AI agents for gyms, studios, and wellness centres that handle bookings, membership renewals, class cancellations, freeze requests, and routine member queries — over WhatsApp, SMS, or your app — without queuing a human for every call.
The agent escalates to staff only when the member's question genuinely needs a person. Your team spends less time on the phone and more time on the floor, where retention actually happens.

What we build
What a Banao front-desk deployment covers
A front-desk agent is not a chatbot that fails on anything complex. It is a workflow — intake, resolution, escalation, and audit — covering the calls that eat your team's day.
Booking and class-slot management
Members book, cancel, or move class slots in a WhatsApp or app conversation. The agent checks live capacity, confirms the change, and updates your gym-management software — no staff involved.
Membership renewal and freeze handling
Renewals, payment retries, and freeze or hold requests are handled end-to-end, including sending the right offer at the right moment rather than a generic reminder that arrives three days after the membership lapsed.
Routine query deflection
Class schedules, trainer availability, parking, locker policy, onboarding steps — the twelve things your front desk answers twenty times a day are handled by the agent with no human in the loop.
Smart escalation to staff
When a query needs a person — a complaint, a billing dispute, or anything the agent is not confident about — it routes to staff with the full conversation thread, so the member does not have to repeat the context.
Gym-management software integration
The agent reads and writes your existing booking and billing system — Mindbody, Glofox, custom CRMs — so it operates on live data rather than a static FAQ copy.
Conversation audit log
Every member interaction is logged with the intent, the resolution, and the escalation reason, so managers see where the agent performs and where staff time is still going.

Where this is running

Member query automation built into a live wellness platform
HummCare runs a wellness platform where members book providers, track sessions, and manage their plan. Banao built the member-query and engagement agent that handles routine interactions inside the product — so support load stayed flat as the member base grew.
Booking and renewal calls moved off the phone
An anonymized engagement — a fitness operator whose front desk fielded hundreds of calls a week, most of them bookings or membership queries. Banao deployed a WhatsApp agent integrated with the chain's booking and billing system. Staff time shifted from answering the phone to working the floor.
Dogfooding
We run our own operations on AI before we sell it
Banao operates a ~300-person engineering company on its own AI products. InterviewGod handles our own hiring intake. Vikaas runs our own demand-generation pipeline. Both systems process real volume against real consequences every working day.
We are not describing front-desk automation from a product brochure. We have built and operated the intake and routing layer ourselves — which is the standard we hold any client deployment to before it reaches your members.
Handles candidate intake for Banao's own engineering hires every week.
Runs Banao's own outbound demand-gen pipeline end to end.
The honest version
When front-desk automation isn't the right answer
Not every studio is ready for an AI agent. We'd rather say so before you spend on one:
- Conversation volume too low: below a few hundred member interactions a month, the operational saving does not cover the build. A trained receptionist is cheaper.
- No system to integrate: if booking and billing live in a spreadsheet or a tool with no API, week one is data plumbing, not deployment — and sometimes the honest call is to fix the CRM first.
- Complex member relationships: in boutique studios where the member-staff relationship is the product, automating that touchpoint can cost you the churn it was supposed to prevent.
How we start
How we start — no agent until we've mapped the calls
We do not spec an agent off a template. We look at what your front desk actually handles before we build anything.
- 01
AI Discovery Sprint
2 weeks · fixed price
We audit your call volume, query categories, and integration endpoints, then hand back a prioritised automation map and ROI estimate — yours to keep whether or not you continue. If you proceed, the Sprint cost is credited against the build.
- 02
Build
Agent conversation flows, integration with your booking and billing system, escalation routing, and a staff handoff protocol. We deliver the pipeline and the audit log as part of the build, not as add-ons.
- 03
Production & refinement
Live deployment with the escalation log open to your team from day one. Edge cases in the first weeks feed back into the agent, and we tune until deflection and resolution rates are stable.
FAQ
Frequently asked questions
Which channels can the agent run on?
WhatsApp is the primary channel for most gym operators — it is where members already message. We also support SMS, in-app chat, and web widget. The channel is configured during the build; the agent logic is the same across all of them.
Does it connect to our current booking system?
Yes — the agent reads live availability and writes confirmed bookings back to your gym-management software. We integrate with Mindbody, Glofox, and custom CRMs via API. Where no API exists, we document that in the Discovery Sprint before you commit to a build.
What happens when the agent can't answer a member?
The agent recognises the boundary and routes to a staff member with the full conversation thread attached. The member does not repeat themselves, and staff see exactly where the automated handling stopped. Escalation rules are configured by your team during onboarding.
Will members know they're talking to an AI?
That is a policy choice we leave to you, and we will advise on best practice. In most markets, clearly disclosing the agent type increases member trust rather than reducing it — particularly for routine transactions like bookings.
How long before the agent is live?
A typical path is a 2-week Discovery Sprint, a 6–8 week build, and a 2-week rollout with staff briefing included. Banao's delivery team starts within weeks of the Sprint close, not in the months a standalone hire would take.
