Indian Oil partnered with Banao Technologies to digitize and automate the entry pass approval process at their Balasore Terminal. The system is built around a video-based aptitude test, allowing only verified individuals to gain entry by completing a multi-step authentication, assessment, and document verification journey.

The entry management system significantly reduced manual work at the gate, enforced security protocols, and ensured only well-informed and compliant individuals entered the premises. It introduced AI-backed validation and documentation checks while maintaining accessibility for all types of users.

How we approached it
Indian Oil’s terminal required a secure and compliant system to validate personnel before granting entry. The challenge was to develop a seamless user flow that includes mobile and non-mobile accessibility, real-time video-based assessments, automatic score evaluation, retry logic, and backend approval routing with PDF generation for gate use.

Secure one-time password-based login with user-specific greetings based on terminal and location.
Dynamic Gate Pass Role Selection
Users can select the type of entry needed (visitor, vendor, transporter, etc.), guiding them to relevant quiz flows.
Video-Based Quiz with Automated Result Handling
Aptitude quiz based on terminal safety video. Users must score 80% or more to proceed.
Fail Screen & Retry Limits
Failure leads to a retry logic (max 3 attempts). After repeated failure, alerts are sent to security.
Document Upload & Officer Approval
Post-quiz pass stage prompts users to upload ID proofs, work order documents, and statutory confirmations.
Admin Dashboard & Gate PDF Pass
Admin can track attempts, approvals, and generate a PDF-based gate pass automatically sent to the gate terminal.
